Stop typing your invoices into QuickBooks twice
Connect your QuickBooks Online company once. Your customer list and price list come across, and the invoices and payments you record here post to your books on their own.
If you keep your books in QuickBooks Online, you can connect it and stop entering the same invoice twice.
Go to Accounting, then Integrations. The QuickBooks Online card has a Set up button. You sign in to Intuit, pick the company you want, and come back. Crew accounts cannot do this, the same as everything else to do with money.
First job is bringing your lists across. The Import tab shows the customers and the services and products sitting in QuickBooks. Anything that clearly matches what you already have gets linked. Anything close enough to be a maybe is handed to you to decide, because two customers with the same surname are not the same customer and we are not going to guess. The rest can be created here.
After that it runs on its own. Invoices you issue and payments you record go over to your books without anybody doing anything. The Sync Activity tab is the receipt: what went across, what is waiting, and anything stuck. If something is stuck it tells you why and what to do, and there is a Try again button once you have fixed it.
The most common thing to get stuck is a line on an invoice using a service QuickBooks has never heard of. QuickBooks will not take an invoice line without one of its own items behind it, so that invoice waits. Link the service on the Mapping tab and it goes.
This is new, so watch the first one through. Issue an invoice, then open it in QuickBooks and check it reads the way you expect before you trust it with a week of work. Every record we have sent also carries a link straight to its page in QuickBooks, so that check is one click.
Worth knowing before you start. One QuickBooks company per organization, and one organization per QuickBooks company, so two of your businesses cannot both point at the same books. Renaming a service here does not rename it in QuickBooks, and the link between them holds either way. Disconnecting revokes our access at Intuit, it does not delete anything already in your books.
