A playbook is a whole job with the steps spelled out, including what the assistant must not do. Copy it, paste it into your assistant, and it runs against your real account.

Setup

  • Check the connection. Run this first. It proves the connection works, then reads back what you sell, who your crews are and how big your book is, so you know it is looking at your real account and not a demo.

Quoting

  • Site visit to quote. You walked a property, shot the trees and talked the whole way round. This reads all of it, your voice notes included, looks at the photos, then shows you the finished quote and asks once before it writes anything.
  • Spreadsheet to quote. You already priced the job somewhere else, on paper or in an email. This gets it into the system as a real estimate without retyping, creating the customer and site if they are new.

Reporting

  • Write the customer's tree report. The property report, drafted and ready for you to send.

Scheduling

  • Customer said yes: get it on the board. Accepted work onto a crew and a day, in an order that makes sense to drive.
  • Fill a crew's day from the backlog. Pick the work that actually fits the day you have left.

Money

  • Find what is slipping. Overdue work, unsent estimates, unbilled jobs. Worth asking once a week.
  • Bill the finished work. Completed jobs become invoices.

The safety line

Nothing in a playbook can send anything to a customer. Estimates land as drafts and invoices sit unsent, so you read them before anybody else does.
