Scheduling and Crews
Put accepted work on the calendar, order the day by drive time, and give your crew their own app.
Once a client accepts, the work appears in a tray waiting for a day. Nothing has to be re-entered.
The board
Schedule → Board shows your week, with two trays on the left:
- Unbooked visits — estimate visits with no time yet.
- Work to place — accepted jobs with hours still unscheduled. Each row shows how long it has been waiting.
Every row already proposes a crew and a day, with the reason behind the suggestion. Work that has sat a long time takes the first day it fits rather than the tidiest one. It is a proposal, not a decision: you place it.
Drop several jobs on one day in the order you intend to drive them and that becomes the order of the day. No separate ordering step.
Day routes
Drive → Day routes orders the stops by drive time. You can let it order automatically, set the order by hand, or ask it to optimise what is there. A day with one stop is left alone.
If a site was captured without GPS, the day is flagged rather than silently mis-ordered.
Crews
Create crews under Settings → Crews, add members, and name a lead. A crew has a working day, so capacity means something.
Districts
Draw a box on the map and it becomes a named area you can filter and pull work from. Useful when you run more than one part of town.
The crew's app
Crew members open the same mobile app and see a different thing: their day, their route, and the jobs on it.
Opening a job shows the trees the estimator photographed, with the species, photos, markup and notes. Nobody has to call the office to ask which maple.
They clock in against the job, tick lines off as they finish, and clock out. Checking a line off does not change the job's status; that stays with the office.
Time
Hours land against the job. Adjust an entry, void one, or add time by hand from the job's Time tab, and compare what it took against what you quoted.
